What Are IT Project Services?

IT project services are one-time or defined-scope engagements that fall outside the scope of ongoing managed IT services. Examples: moving to a new office, migrating from on-prem Exchange to Microsoft 365, replacing the entire workstation fleet, rolling out a new security platform, or integrating IT from a recent acquisition.

Why project services are a distinct offering:

  • Scope and timeline are definable — "migrate 50 mailboxes to M365 and port 40 phone numbers" has a clear start, finish, and deliverable. Not the same as ongoing managed support.
  • Specialist expertise required — migrations, major deployments, and infrastructure projects require different skills than day-to-day IT operations.
  • Fixed-fee pricing is appropriate — projects have defined scope, which lets us quote fixed fees rather than hourly billing.
  • Not everyone needs ongoing managed services — some businesses have internal IT and only need external help for specific projects.
Who engages Netsafe for project services:
  • Existing managed clients needing a specific project (office move, migration, major upgrade) handled alongside ongoing services
  • Businesses with internal IT that lack bandwidth or expertise for a specific project
  • Businesses switching MSPs who need a one-time migration before standing up a new managed relationship
  • Businesses post-acquisition integrating two IT environments
  • Growing businesses opening a new office or location

Pricing

Projects are fixed-fee, quoted in writing before engagement. Typical ranges for common project types:

Hardware is always quoted separately and at pass-through cost — we don't mark up hardware.

Managed services clients get discounted project rates (typically 10-15% below standalone project pricing).

No charge for discovery calls or initial scoping conversations — we only bill when you sign the written scope.

Frequently Asked Questions

Do we need to be a managed services client to engage you for a project?

No. Project engagements are available standalone. That said, managed services clients get 10-15% discount on project pricing, and many businesses find that once they experience project delivery quality, they engage ongoing managed services as well. The reverse path works too — existing managed clients regularly engage us for project work on top of their ongoing services.

How is project pricing fixed if we don't know exactly what we'll find once the project starts?

We handle this through the scoping process. For straightforward projects (M365 migration, hardware refresh, firewall swap), we can quote fixed fees based on documented environment specs. For projects where current-state is uncertain (often acquisitions, rescue projects, legacy system migrations), we do a pre-project assessment as a separate small engagement ($2,000-$5,000) that produces a detailed current-state document and then a fixed-fee proposal for the main project. This way you're never committing to a fixed fee without a clear scope.

What happens if scope expands during the project?

Change orders. If scope changes during execution — you add new requirements, discover environment issues that need different handling, or decide to expand the project — we document the change, price it, and get your written approval before doing the work. No scope changes happen without your written consent. This prevents the classic "surprise bill at the end" that kills trust in professional services engagements.

How fast can we get started?

Discovery calls within 3-5 business days of inquiry. Written scope typically within 5-10 business days after discovery. Project kickoff can typically happen within 2-4 weeks of scope approval. Larger or more complex projects have longer scope-to-kickoff times to accommodate hardware lead times, carrier coordination, and proper resource scheduling.

Do you work outside business hours for cutover events?

Yes. Migration cutovers, network cutovers, and office moves typically happen outside business hours — usually Friday evenings into Saturday mornings, or full weekend events for larger projects. After-hours and weekend work is included in the fixed-fee price when the project scope calls for it.

How do you handle subcontractors?

For projects that require specialized trades (commercial cabling, electrical work, specific equipment vendor certified engineers), we engage qualified subcontractors and manage them as part of the project. Subcontractor costs are passed through to you at cost — we don't mark them up — and documented in the project scope. Our project manager owns coordination with subcontractors so your team doesn't have to.

What's included in the 30-day post-project warranty?

Defects or issues directly related to the project work are corrected at no charge during the first 30 days post-completion. Examples: migration leaves some users with incorrect permissions, a newly deployed firewall has a rule misconfiguration, an Autopilot device fails to enroll properly. What's NOT included: new requests beyond the original scope, training on items already delivered, or issues caused by user error or post-project changes you made.

Can you project-manage equipment purchases even if we don't need deployment?

Yes. Some clients engage Netsafe specifically for procurement advisory — "help us choose and order the right firewall/switches/laptops" — without deployment services. We charge a small fixed fee for procurement consulting and pass through the hardware at vendor cost (no markup). This is common for clients with capable internal IT teams that want outside vendor advisory for specific purchases.

What if we need ongoing support after the project?

Options: 1. Managed services engagement — full ongoing IT management, often the natural next step after a successful project 2. Project-related support retainer — monthly retainer for ongoing maintenance of what we built, without full managed services scope 3. Incident-based support — pay-per-incident when issues arise 4. Handoff to your internal team or existing MSP — documentation handoff package so someone else can support the delivered project
